Finance and HR Assistant

POSITION SUMMARY

Provides administrative support to all divisions of the Finance and Human Resources department to include accounting, billing, purchasing, contracting, onboarding assistance, filing, creating files and assisting as needed across both departments.  Additional functional areas may include recruitment, onboarding, benefits, payroll, and training.  

ESSENTIAL FUNCTIONS

1.  Perform basic office tasks to include filing and scanning, archiving documents, copying records, mailing of customer statements, organizing of files.

2.  Reviewing voice mails and responding. 

3.  Processing of transactions to include review and printing of customer statements.

4.  Assist with preparing documents for audits, reviews, and presentations.

5.  Make bank deposits.

6.  Receive and distribute goods received.

7.  Research and resolve discrepancies as directed.

8.  Create, monitor and maintain personnel and medical files for required compliance measures.

9.  Ensure all primary source verification, copies of licenses, education documentation are obtained and uploaded to HR data system.

10.  Create Purchase Order requests as needed for new hire drug screen testing, tuberculosis testing, physicals, and fingerprint clearance cards.

11.  Responsible for external employment verifications.

12.  Assist with recruitment and onboarding.

13.  Assist with maintaining HR data system – entering new hires, updating employee information.

14.  Conduct audits of HR programs as needed.

15.  Manage organization's recognition program, including Pride on the Spot, monthly employee appreciation events, and assist with annual events.

16.  Coordinate intern interviews.

17.  Demonstrates cooperative and professional behavior with colleagues and supervisors.

18.  Other duties as assigned.

KNOWLEDGE/SKILLS/ABILITIES

Required:

High School education/GED.

1 year Business Office experience.

Basic administrative assistant and/or clerical skills.

Knowledge of HRIS systems.

Possess or have the ability to obtain an Arizona Level 1 Fingerprint Clearance Card.

Possess excellent attention to detail.

Preferred:

1 year experience in human resources.

Experience in behavioral health/medical environment.

Excellent computer skills in a Windows environment.
