The Guidance Center is a not-for-profit Community Mental Health Center with locations serving Flagstaff, Williams, and surrounding Northern Arizona communities. We provide a full range of services, which include everything from general mental health counseling for everyday stressors, to our inpatient psychiatric hospital for acute psychiatric emergencies. We provide care to all ages, from birth and up. Our Birth-5 team specializes in infant development and bonding. Case managers, therapists, program supports and peer supports work together to provide individualized care to children, families and adults.
Compile, process, and maintain medical records of hospital and clinic patients in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the health care system. Process, maintain, compile, and report patient information for health requirements and standards.
Request and retrieve client records from storage in a timely manner to ensure all pertinent information is available to staff.
File documentation, loose correspondence and miscellaneous forms into all active charts.
Inventory client records for storage purposes and retrieve as required.
Verify that the client record is in proper order according to the current filing format.
Purge client records according to current purge standards.
Sort interoffice mail and file in the corresponding staff mail boxes.
Perform the function of Release of Information as requested by outside agencies and clients.
Obtain and track Release of Information documentation for all Inter-RHBA transferring clients.
The employee must work well under pressure meeting multiple and sometimes conflicting deadlines. The employee shall, at all times, demonstrate cooperative behavior with colleagues and supervisors. The employee must be able to handle emotional and stressful situations with agitated clients while remaining calm, non-defensive, and supportive during crisis and potential crisis situations.
Participate in the Performance Improvement Process
Create and maintain word-processed letter templates, Excel spreadsheet monitors, and other duties as assigned. Report weekly productivity records to supervisor.
Retrieve charts for doctor and clinician appointments on a daily basis; file returned charts into active shelving.
Perform special projects as assigned (e.g. Audits, Reviews).
Assist court service personnel with medical transcription.
Willingness to learn.
Other duties as assigned.
High School Diploma or General Education Diploma (GED)
Must be able to obtain and maintain an Arizona Level One Fingerprint Clearance Card
Computer experience (Word, Excel, Access databases), office machines, copy machine and facsimile.
Experience in filing
Perform multiple tasks.
Two years medical office experience or related education
Experience in transcription
